While we have yet to create a virtual reality (VR) experience, our proficiency in video and animation production has prepared us with many of the essential skills VR requires, including visual storytelling, sound design, and an understanding of immersive, audience-focused content. We are deeply committed to quality and constantly seek to expand our expertise. As a team we focus on collaboration, producing working results, and adapting to change. It’s about being able to repeat quality results, rather than repeating processes.
Each project is overseen by a dedicated project lead who is also one of the creatives contributing to the project, by utilising Agile project management all work is organised around the right people in order to deliver high quality work in a timely manner. The project lead is able to eliminate bottlenecks and have different tasks being completed concurrently. The team is able to see their workload for each two week period and estimate effort involved in tasks assigned to them, rather than focusing on the time something will take. Working this way facilitates a smooth and efficient process for both our clients and staff.
Every project starts with gathering a detailed project brief to ensure we fully understand our client’s needs and have all the information we require to provide the service to the highest standard. The brief is uploaded to our cloud-based project management system for the core team to start working from. Each team member is allocated their tasks through this system with specific deadlines. The project as a whole is worked on with complete transparency across the team. Each stage gets updated in real time and all communication and progress on the project is centralised onto the project management system.
We use the following strategies to ensure we meet our client deadlines:
All work undertaken at bellette, is overseen by our product owner, to ensure quality and timely delivery. Each project is also assigned a project lead – a dedicated liaison between you and the key team. They will have their eye constantly on the time frame and budget, and will immediately manage any capacity or delivery issues that may arise through a delay or change in the timeline, without disrupting project milestones or deadlines.
Our flexibility in this regard is due to the suite of secure, cloud-based digital management systems bellette operates with everyday, from timelog, communication and file management systems to sophisticated project management and team collaboration programs.
These online systems allow all of our team the ability to access any project information, conversations or files they require from any location, using a mobile or desktop device, so they can quickly and easily collaborate and share knowledge to efficiently manage work to meet project deadlines. Our systems allow project leads and the product owner to view immediate and real-time capacity forecasting, including workflow and time-management capability, so that we’re always able to adjust task resourcing.
Our approach to this project centres around the active involvement of Yipirinya School’s Language Teachers and students at every stage of the VR experience development, there is an overview of the stages on page 22 as well as a detailed breakdown beginning on page 24. To begin we would like to attend the school and observe lessons as a passive observer, potentially filming for the purpose of demonstration and concept development. After this we envision a series of collaborative workshops where students, guided by their Language Teachers, can share stories, knowledge, and ideas that will inform the VR content. It is during this time that we will also explain what makes a standout VR experience (see under Quality and Creativity) to ensure the workshops are fruitful and lead to consolidated ideas suited to the project outcomes. Our team will create a welcoming environment, encouraging students to contribute concepts and insights that resonate with their cultural experiences.
As the project progresses we will also aim to demonstrate our production techniques with the students, allowing students to see their ideas translated into immersive experiences and to gain familiarity with VR production tools. By integrating students' voices and perspectives, we aim to co-create a final product that reflects their identities, values, and aspirations. Through consultation with students and teachers an appropriate way of crediting the students’ contribution will be resolved, one that celebrates their input but maintains appropriate privacy.
Respect for cultural traditions and values is integral to our process. We will begin by consulting with the community, including Elders, Language Teachers, and custodians of cultural knowledge, to understand specific protocols and permissions related to cultural content. This initial engagement ensures that any visual, auditory, or narrative elements are culturally accurate and approved for public viewing. We will work closely with Yipirinya’s Community Liaisons to gain formal approvals for all cultural and language elements, documenting the process and following established guidelines for respectful representation. Final approvals will be sought before project completion, guaranteeing that the VR content is not only authentic but also aligned with the community’s standards for cultural integrity. The language teachers will be integral to ensuring the accuracy if in language content. We will never allow our own creative vision to supersede the advice of cultural custodians.
This includes a commitment to ongoing consultation, maintaining a transparent, ongoing relationship with the community, checking in throughout the project (and after the tour’s begin) for feedback and approval. This helps ensure cultural content protection remains intact even as the project evolves.
Furthermore we will draft (together with Yipirinya School) and implement an Intellectual Property (IP) Agreement that clarifies ownership rights, control, and use of the content. This agreement will protect the community’s rights over the cultural content, including decisions on future uses.
Timeframes are based on the contract being awarded by mid January 2025 in order for stage 1 to be able to begin at the beginning of February when the school term start.
